Privacy Policy

CMO in Residence, LLC ("CMO in Residence," "the Collective," "we," "us," or "our") is a limited liability company organized as a collective of independent consultants who provide fractional and interim marketing leadership services to clients under the CMO in Residence name. This Privacy Policy explains how we collect, use, and protect information gathered from visitors to our website, https://cmores.com (the "Site"), and it also describes how we approach data and system access encountered during client engagements. By using the Site, you agree to the practices described in this policy.

1. Who We Are

CMO in Residence, LLC is a small business entity that brings together independently operating marketing consultants to offer coordinated, fractional CMO and marketing leadership services to clients. Each consultant affiliated with the Collective may operate their own practice, but information submitted through the Site is collected and controlled by CMO in Residence, LLC as described below.

This policy applies to the Site; Section 6 below separately addresses how we handle client data and systems accessed during the course of an engagement.

2. Information We Collect Through the Site

We keep the information we collect through the Site to a minimum. We may collect:

  • Contact information you voluntarily provide, such as your name, email address, and any message content, when you submit our contact form.

  • Basic technical information automatically generated by your browser or device when you visit the Site (such as IP address, browser type, and access times) that may be logged by our web hosting provider for security and maintenance purposes.

We do not use the Site to collect payment information, and we do not knowingly collect sensitive personal information (such as Social Security numbers, financial account numbers, or health information) through the Site.

3. How We Use Site Information

We use the information collected through the contact form solely to:

  • Respond to your inquiry or request for services;

  • Route your message to the appropriate consultant within the Collective;

  • Maintain records of client and prospective client communications for our internal business purposes.

We do not use information submitted through the Site for advertising, and we do not sell, rent, or trade your personal information to third parties.

4. Cookies and Tracking Technologies

The Site does not use advertising or analytics cookies. Our web host may use standard server logs that record basic technical data (such as IP address and request timestamps) required to operate and secure the Site. If this changes in the future, we will update this policy accordingly.

5. How We Share Site Information

We do not share the information you submit through the contact form except in the following limited circumstances:

  • With the specific consultant(s) within the Collective best suited to respond to your inquiry;

  • With service providers who help us operate the Site (such as our website hosting provider or email provider), who are only permitted to use your information to provide those services to us;

  • If required to do so by law, subpoena, or other legal process, or to protect the rights, property, or safety of CMO in Residence, LLC, its consultants, or others.

6. Access to Client Systems and Data During Engagements

Our engagements frequently require consultants within the Collective to be granted access to a client's own systems, platforms, and data, for example: marketing automation tools, CRM systems, analytics dashboards, or internal shared drives, in order to perform the services requested. This access is governed by the terms of the applicable engagement agreement with that client, and by that client's own privacy and security policies, not by this Site Privacy Policy.

When accessing or operating within a client's systems, CMO in Residence, LLC and its affiliated consultants adhere to the client's own privacy and security measures, including any applicable access controls, confidentiality obligations, data handling requirements, and acceptable use policies communicated by the client. We do not use client system access to collect data for our own marketing purposes, and any client data encountered during an engagement is used solely to perform the contracted services and is handled in accordance with the client's instructions and the terms of our engagement agreement.

Consultants are expected to limit their access to what is reasonably necessary to perform the engagement, to follow any credential, device, or security requirements set by the client, and to promptly report any suspected security incident involving client systems to the client in accordance with the engagement terms.

7. Data Retention

We retain contact form submissions for as long as reasonably necessary to respond to your inquiry and maintain appropriate business records, after which we take reasonable steps to delete or anonymize the information. Retention of client data accessed during an engagement is governed by the applicable engagement agreement and the client's own data retention policies.

8. Data Security

We use reasonable administrative and technical safeguards designed to protect information submitted through the Site from unauthorized access, use, or disclosure. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

9. Children's Privacy

The Site is intended for business audiences and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

10. Third-Party Links

The Site may contain links to third-party websites, including the individual websites or professional profiles of consultants within the Collective. We are not responsible for the privacy practices or content of those third-party sites, and we encourage you to review their privacy policies directly.

11. Your Choices and Rights

You may choose not to submit personal information through the Site, though this may limit our ability to respond to your inquiry. Depending on your location, you may have additional rights regarding your personal information, such as the right to request access to, correction of, or deletion of information you have submitted to us. To exercise any such rights, contact us using the information below.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will post the updated policy on this page with a revised effective date. We encourage you to review this policy periodically.
